MS Teams and Presenting

I figured I would write a specific how to for Microsoft Teams since I was able to test this out. It appears to work okay, and I hope someone makes use of it.


It is useful to note, I am using my Android Samsung Note 9 with a 12-megapixel camera. Although my phone is fine for this during daylight hours, it struggled a little in low light, where iPhones, in my opinion, generally work better. Additionally, iPhone has an in-built app called Notes, which can be used for document scanning and manipulation. Android doesn't have an in-built function for this, but the cell phone app Microsoft Office Lens works too.


Steps

Open up the Teams application on your computer and sign into it using your office 365 credentials. If you do not have the Teams application installed, download it here.


Note: The teams web app, which is not the same thing as the downloadable application, will not work with what we are trying right now. Check that you have the downloadable version installed before proceeding. There might be convoluted ways to do this via the web app, like inviting an external email address to the meeting and making them presenter, but I haven't tried it.



Open Teams on your cell phone device and sign into it. If you do not have the Teams application on your cell phone, you can install it from the Apple Store on your iphone or the Google Play store on your android device.


In the Teams application on the PC schedule a test meeting by clicking in the blank space on the calendar.

Hit Save to save the meeting

Click Meet Now

If you choose to turn on the PC camera, click the video icon and turn on the Audio. Click Join now to enter the meeting.

Now on your cell phone, open the Teams app.

Click the Join button up the top. If you do not see one, try and close out of all apps and restart the Teams app or restart the cell phone.

These are settings you will choose prior to the meeting. Make sure your Mic is off. Click Device and turn Audio off so the phone can neither produce nor receive sound, then hit Join Now.



Now you are in your meeting "twice". Once on your PC, and once on your cell phone.


You now have similar sound and mic settings that can be changed. You shouldn't need to change them.

Click the '...'

Click Share

These next options will appear:

1 - Share photo will give you the option to take a picture, brighten the lighting, select it and then present it

2 - Share video will capture a live recording using the cameras phone

3 - Share screen will capture the actual cell phone screen where you can switch between apps on the cell phone


This is where apps like Microsoft Office Lens come in, where you can take a picture of the physical document, auto-crop it, mark it up live, and save it to a photo folder, all while presenting on the teams meeting.


Alternatively, a physical document, an old-fashioned red pen and the share video mode would work well too.


For example click Share video

Then click Start presenting

The cell phone should give you the option to switch cameras(1) to the front or back camera. At this point you are now presenting whatever is in front of the camera on the desk. Attaching a stand to the phone could be handy.

Tips

It is best for your cell phone camera to be connected to the absolute fastest wireless it can be, avoid using the cellular network. Connecting to teams using a data plan will end up delaying the camera feed by around 10-15 seconds each time it moves.
